Appointment Booking for Psychologists & Therapists on WhatsApp

Patients book, move and cancel sessions on WhatsApp or your booking page, 24/7 — discreetly, with no questions about why they are coming. Reminders cut missed sessions. Free to start.

A private practice runs on fifty-minute hours. While you are in session your phone is face down, and that is exactly when a new patient finally works up the courage to write "do you have anything this week?". By the time you reply at ten past the hour, they have messaged someone else — or talked themselves out of it. Existing patients need to move a session around exams, shifts or childcare, and every change becomes a back-and-forth you squeeze in between sessions or answer late at night.

Welqo answers on your WhatsApp the moment someone writes, in their own language. It checks your real availability, offers times that fit and books a first session, a regular session, an online session or a couples session — whichever services you set up, each with its own length. It asks only what a booking needs: a name, a time and the type of session. It is instructed never to ask why someone is seeking therapy, never to give advice, and never to confirm to anyone whether a person is your patient. If a message mentions self-harm, danger or crisis, it is set up to answer with care, point the person to their local emergency number or a crisis line, and hand the conversation to you immediately — before anything about booking.

Patients get a WhatsApp reminder before each session and a private link to reschedule or cancel inside the notice window you choose, so a late cancellation stops being a phone call you dread. Prepaid session packages and deposits, if you use them, settle straight to your own account with no commission. Welqo is the front desk, not the clinical record: keep your session notes where you keep them today. It is free for up to 50 sessions a month, and your booking page works the same day, even before WhatsApp is connected.

Frequently asked questions

Does the AI ask patients why they want therapy?

No. It is instructed to ask only what a booking needs — a name, a time and the type of session — and never to ask about the reason, give advice or repeat personal details back. Anything clinical belongs in the session, with you.

What happens if someone writes in crisis?

The therapy setup tells the AI to stop booking, reply with care, point the person to their local emergency number or a crisis line, and hand the conversation to you straight away. It is a safety net, not a crisis service, so keep your own urgent-contact arrangements in your practice information too.

Can patients choose between online and in-person sessions?

Yes. Set up online and in-person sessions as separate services, each with its own length and price, and the AI books whichever the patient asks for. Welqo does not host the video call — you send your usual video link, as you do today.

Can patients reschedule or cancel without calling me?

Yes. Every booking comes with the patient's own link to move or cancel it, and the AI handles the same request on WhatsApp. Both follow the cancellation notice you set, so a change inside your window is not accepted automatically.

Does Welqo keep session notes?

No — Welqo is the front desk, not a clinical record. It keeps the booking itself and any private scheduling notes you choose to add; keep clinical notes in the system you use today.

How much does it cost?

Free for up to 50 sessions a month, with reminders, deposits and the booking page included and no card needed. Paid plans start at $15 (₹999) a month for unlimited sessions and two-way Google Calendar sync — flat per practice, with no per-therapist fee and no commission on bookings.
